Due to expansion and several long term contract wins in Cumbria we now seek a Bid Coordinator.


  • Downloading all RFQ documents from Atamis
  • Setting up RFQ folders on SharePoint
  • Maintaining the RFQ document register
  • Reviewing scope documentation and identifying key submission requirements
  • Co-ordinating RFQ kick-off meeting slides
  • Co-ordination and leading of all bid meetings including:
  • Kick-off meetings (co-ordinate and lead)
  • RFQ progress meetings (co-ordinate and lead)
  • Risk workshops (Co-ordinate)
  • Programme workshops (co-ordinate)
  • Pre-governance meetings (co-ordinate)
  • Production of governance slides
  • Managing the RFQ Programme (ties in with progress meetings), including internal deadlines, review gates and submission milestones
  • Management of the RFQ trackers (making sure actions are being progressed / complete in a timely manner)
  • Escalating overdue actions or submission risks where required
  • Co-ordinating inputs from technical, commercial, planning, risk, SHEQ and operational stakeholders
  • Managing clarification questions to the client, including drafting, consolidation, issue and tracking
  • Maintaining the clarification register and ensuring client responses are communicated to the bid team
  • Creating and maintaining submission documents
  • Managing document reviews, comment close-out and final approval of submission documents
  • Ensuring all submission documents align with the client’s RFQ instructions and evaluation criteria (where required)
  • Managing version control of all RFQ and submission documents
  • Carrying out final submission checks, including compliance, formatting, signatures, attachments and completeness
  • Daily management of Atamis
  • Uploading final submission documents to Atamis and confirming successful submission
  • Maintaining an audit trail of RFQ correspondence, approvals, clarifications and submission activity
